Before the year-end count
The count found it.
How long was it costing you?
A stocktake can reveal that the physical stock and the ERP no longer match. It cannot tell you when the item actually disappeared.
The expensive part may be the time between the real stockout and the correction.

- ERP still shows
- 10units
- Physical count finds
- 0units
When did it run out?
The year-end count cannot establish the date.
The record says ten.
The shelf says zero.
Suppose this item physically ran out on October 10, while the ERP kept showing ten units until the December 31 count.
During that window, replenishment and availability decisions are being made from a number that no longer reflects the shelf.
*This is simple scenario arithmetic, not measured lost sales. A real estimate needs dated stock and sales history, availability assumptions, demand and product context. A December count alone cannot prove the October 10 date.
Do not wait for the count to raise the question.
StokSmart looks for sales patterns that make the recorded stock suspicious, then directs the team to investigate the right item in the right store.
The algorithm does not declare a stockout. It identifies a pattern that deserves a physical check while there is still time to respond.
Signals worth checking
Observed pattern, then human verification
- 01Sales are decelerating
The item is selling less quickly than its recent pattern suggests.
- 02Sales are near zero
The ERP says stock remains, but movement has almost stopped.
- 03Sales are far below potential
Performance falls well short of what comparable availability would suggest.
- SignalA pattern looks suspicious
- Targeted checkThe store verifies the item
- Reviewed findingThe team establishes what is known
- ActionReplenish, correct or investigate
Shorten the detection delay
Find the suspicious pattern while there is time to act.

Bring the person who owns stock accuracy. Finance and Operations should see the same evidence.
Keep the annual counts your business requires. Risk signals and cycle counts support investigation and audit discussion; they do not replace agreed audit procedures or guarantee auditor acceptance.
